A note on discretion: Why we don't name our clients
Lemania Family Office in Zug supports several high-net-worth families across all financial and organizational matters. With 35 employees, the multi-family office manages a complex IT landscape that has grown over many years.
At Lemania Family Office, the problem was not too little IT, but too much of it, spread across too many hands. Cloud services from one provider, firewall and security from a second, support from a third, plus individual specialist solutions accumulated over more than fifteen years of company history. «Every incident started the same ritual,» recalls Claudia Brentano (name changed), Managing Partner. «Provider A said the problem was with Provider B. We spent hours on coordination we'll never get back.»
Things came to a head when senior management wanted to roll out Microsoft Copilot to speed up meeting preparation and document work. A partner had seen the tool at a client's office and was convinced. Dinotronic was asked to lead the rollout and proposed conducting a baseline assessment first.
The result was sobering. In a controlled test, a pilot user found salary overviews, internal mandate calculations and documents from a family mandate he was never meant to see, using nothing more than a simple query. Not because Copilot was faulty, but because permissions had grown over the years and had never been cleaned up. «That was the moment we understood: the AI was not the risk. The AI just made our risk visible.»
Dinotronic first consolidated the foundation: workplace management, identity protection, information protection and endpoint protection from a single source, delivered as an integrated managed service with Swiss data hosting. Sensitive data was classified, mandate areas were cleanly separated, and data loss prevention (DLP) was activated for documents requiring special protection. Three outsourcing relationships with unclear interfaces became one, with a clear service description, defined audit rights and a documented operating model, a point the compliance officer particularly valued.
Only then came Copilot, rolled out in stages, with defined use cases and clear rules for handling client and portfolio data. The rollout was accompanied by security awareness training for all employees.
«Other providers would simply have sold us Copilot,» says Brentano. «Dinotronic first showed us why we weren't ready yet, and then got us ready. That is exactly the honesty our families expect from us. It's good to have an IT partner who thinks the same way.»
